Tips for event professionals, planners and agents for building a loyal tribe when managing your events

Having been in the events world since the Dot Com Boom, I’ve seen the value of on-site support that really does bring about successful events.

TLDR Tip: During events, do individual check-ins with your artists, talent, and vendors 2-3 times per hour

Doing simple efforts towards others can go a long, long way. Unfortunately, the bad memories of the “events-gone-bad” do stick around far too long. We want to be known as a company or someone that is great to work with.

If you’re starting out doing event management or are a highly-experienced veteran, it’s good to know what is effective at building an event tribe. It’s a long-term investment for having the best team that money can buy:  a loyal tribe!

Providing Support

Vendors and Talent will work better when they are fully supported during the event. The human and personal touch is unmatched, and does go a long way. It always feels good when someone asks, “Are you doing ok?” when working.

Taking Care

Vendors and Talent will work better when feeling taken care of! It feels great when you’re working and someone asks, “Is there anything you need?” When working events, it’s just extremely nice to have someone ask this, even in the case that nothing is immediately needed.

Even if it’s a little request to be filled, it’s one more small step in building and keeping rapport.

Why would check-ins turn out to be helpful?

Bathroom breaks, crowd control, tools missing, supplies needed, an extra hand, etc. can be super helpful to artists and vendors. Having managed events for decades, I know first-hand it’s easy to ignore thirst, hunger, having to pee, etc. and then force yourself to just keep working until the end of the event. Been there, it’s uncomfortable! As vendors, you can really push yourself to work hard in these circumstances, but there’s some urgent things that really should be taken care of immediately.

Crowds and audiences can always bring unexpected circumstances to the table. It helps tons when event managers can forecast and spot trouble areas, and act accordingly.

Why can’t vendors and artists just take care of themselves?

Most working vendors have their hands full, in complete motion from beginning to the end of the events.

Why can’t the vendors and talent take care of their own supplies and crowds?

Though an artist might be really good at their own talent, they might not excel at crowd control. Help your artists and vendor team achieve their best!

Yes, there are jobs where the staff and management are simply too busy to ever check in. Sometimes at events, clients and managers are only seen once at the beginning of the event. Of course, these pros are busy! As an event manager, you may consider adding in another event staff to make things smoother. Everything helps! However, the more the better!

The goal of every event should be for all vendors, talent and artists to be working at their full potential. Happy vendors and artists make happy clients and happy audiences!
